Creative Agency Management

Part of the worlds-biggest-software-project initiative.

An AI-native, open-source platform for creative agencies covering project scoping, time tracking, client approvals, and invoicing in one tool.

Creative Agency Management is a candidate project to build a unified operations platform for boutique studios, mid-size integrated agencies, and in-house creative teams. It targets the core pain agencies face today: stitching together two or three commercial SaaS tools (project management, time tracking, invoicing) while still missing the AI capabilities needed to estimate scope, detect creep, and protect margin.

Why Creative Agency Management?

  • Incumbents like Scoro, Kantata, and Workamajig deliver depth but carry high configuration complexity and per-seat pricing of $25–$60/user/month, with enterprise tiers quote-only.
  • Lower-cost tools (Productive, monday.com, Wrike) lack native agency-finance features such as retainer burn tracking, real-time margin reporting, or fully integrated invoicing.
  • Agencies routinely run two to three tools in parallel; no open-source alternative exists to consolidate this stack.
  • AI capabilities in incumbents are proprietary (Kantata's "Services Language Model", monday.com AI Blocks, Scoro's ELI), locking smaller agencies out of modern automation.
  • Underserved gaps remain across the category: automated scope creep detection, AI-generated estimates from briefs, structured brief extraction, and intelligent approval routing.

Key Features

Project, Time & Budget Management

  • Project and task management with Kanban, list, and Gantt views
  • Time tracking via timer and manual entry, linked to project budgets and billable rates
  • Budget management supporting fixed-price, time & materials, and retainer types
  • Real-time project margin and profitability reporting

Client Workflow & Billing

  • Client portal for brief intake, deliverable sharing, and approval capture
  • Invoicing tied to tracked time and project milestones
  • CRM for client pipeline and contact management
  • Approval workflow with bottleneck analytics and automated follow-up drafting

Resourcing & Planning

  • Resource planning with utilisation dashboards
  • Skills-based resource matching across the team
  • Retainer tracking aligned to client budgets

AI-Augmented Operations

  • AI-assisted scope estimation from historical project data
  • Creative brief extraction from unstructured email, document, and PDF inputs
  • Predictive scope creep detection with change order prompts
  • Retainer health scoring with churn risk signals (backlog)

Extensibility

  • Creative proofing with in-platform visual markup and annotation (backlog)
  • MCP server exposing project, resource, and financial data to AI agents (backlog)
  • Multi-entity and multi-currency financial management (backlog)

AI-Native Advantage

Unlike incumbents that bolt AI assistants onto established workflows, this project treats AI as core to scoping, intake, and margin protection. AI generates evidence-based fee estimates by analysing comparable past projects, parses unstructured client briefs into structured scope and deliverables, recommends optimal team composition based on skills and utilisation, and proactively detects scope creep before margin is fully eroded. Approval bottlenecks are surfaced automatically with drafted follow-up communication, closing a gap that is manual across every tool reviewed.

Tech Stack & Deployment

The project is expected to support self-hosted and cloud deployment so agencies can keep client brand assets and financial data under their own control. Integrations should align with the de facto agency stack: QuickBooks and Xero for accounting, Adobe Creative Cloud for creative production, Google Workspace and Slack for collaboration, and Stripe or PayPal for payment processing. A documented REST API and webhook surface, plus an MCP server exposing project and financial data to AI agents, are on the roadmap.

Market Context

The creative management platform segment is valued at approximately USD 0.97 billion in 2024, projected to reach USD 2.91 billion by 2033 at a 12.9% CAGR (Fortune Business Insights, 2024). The broader agency management software market was USD 5.5 billion in 2024, projected to reach USD 12.8 billion by 2033 at a 10.2% CAGR (Research and Markets, 2025). Primary buyers are boutique studios, mid-size integrated agencies, large full-service agencies with retainer clients, in-house creative teams, and freelancer networks; entry-level tools start at $9–$25/user/month while full agency platforms run $25–$60/user/month.
